Cold email templates that get replies
Most cold emails fail for the same reason: they are long, they are about the sender, and they land with nothing that proves the sender looked. The ones that get replies are short, honest and tied to one real fact about the business. These four templates show you the shape. The detail you add is what earns the reply.

Four templates, and when to use them
The specific reference
When: You have looked at their site and can name one real, verifiable thing about their business.
Hi [name], I was looking at [their company] and noticed [one real thing you actually saw, like a client, a service or a recent update].
I help [people like them] with [the outcome you deliver]. Could I send over a one-page summary?
Why it works: One verifiable detail proves you looked, and that is the difference between a cold email and a bulk blast.
The free sample
When: You would rather show your work than pitch it.
Hi [name], I run a service that finds prospects and writes the messages for [people like them].
Rather than pitch it, here is a free sample: reply and I will research five real prospects for your business and draft the messages, no charge and no commitment.
Why it works: A low-risk offer turns the conversation from buy this to try this, which is far easier to say yes to.
One clear question
When: You want a signal before spending a call on them.
Hi [name], quick one: how are you finding new [clients / customers / candidates] at the moment?
I ask because I work with [people like them] on exactly that. No pitch, just useful to know.
Why it works: A single low-effort question gets more replies than a pitch, and the answer tells you if they are a fit.
The short follow-up
When: They did not reply to your first email.
Hi [name], I know inboxes fill up, so I will keep this short.
Still happy to send that summary if it is useful. If now is not the time, no problem at all.
Why it works: One light follow-up a few days later, then stop. Pestering burns the list and hurts your deliverability.
The rules behind every template
- Keep it under 90 words. Most cold emails are read on a phone, and shorter always wins.
- Start from one real fact about their business, never from your product.
- Ask for one small thing. A reply, a short call, a yes or no. Never a list.
- Stay on the right side of UK law. Email only business addresses at limited companies or other corporate subscribers, never sole traders or consumers, and always include a working opt-out.
- One follow-up only. Two unanswered emails is the limit. Then leave it.
How DMer fits in
The hardest part of a good cold email is not the words: it is finding the right business and learning one real thing about them before you write. DMer researches the people, writes a personal email for each, and plans the ones you approve around your goal on a schedule spread over safe daily limits. You approve, edit or reject every message before it goes out.
Frequently asked questions
Do these templates really work?
No template guarantees a reply, and you should be wary of anyone who promises one. What makes a cold email work is that it is short, honest and tied to one real fact about the business. These templates give you the shape; the specific detail you add is what earns the reply.
Is cold emailing legal in the UK?
Yes, with care. Under PECR you may email business addresses at limited companies, LLPs and other corporate subscribers without prior consent, but you must identify yourself clearly, offer a working one-click opt-out and honour it forever. You should not cold email sole traders, partnerships or consumers. DMer builds every message to meet these rules.
Do I write the emails myself?
You can, using these templates as a starting point. Or DMer researches each prospect and writes a personal email for them, built around your goal and your offer, and you approve, edit or reject every one before it is sent.
Do you send the emails for me?
Yes. Email is the one channel DMer can send automatically, from your own connected inbox or from DMer's domain, on a schedule spread over safe daily limits. Instagram, LinkedIn and Facebook are assisted: the approved message waits in your dashboard with a one-tap open and copy, and you send it.
How much does DMer cost?
The free sample is 5 real prospects with their messages, free. Paid plans are £14 (Taster, 15 prospects), £39 (DM Pack, 50 prospects and two follow-ups) and £49 a month (Weekly, 50 new prospects every week).
